PURPOSE
At Club X Academy, we believe that clear and respectful communication between parents, coaches, and staff is essential to maintaining a positive environment for all players. This process provides a structured way to address any concerns related to coaching, games, or other club matters in a fair, timely, and professional manner.

24-Hour Cooling-Off Period
Parents and guardians are asked to wait at least 24 hours after a game, practice, or incident before bringing forward a concern. This cooling-off period allows time for reflection and helps ensure that conversations are calm, constructive, and focused on solutions.

Speak Directly with the Coach
The first step in resolving a concern is to communicate directly with your child’s coach. Please schedule a private meeting or send an email — do not discuss issues during or immediately after games or practices. Most concerns can be effectively resolved at the team level through open, respectful communication.

Escalate to the Club
If the concern cannot be resolved through direct communication with the coach, parents should reach out to the club by emailing the club at support@clubxacademy.com. When submitting a concern, please include a brief summary of the issue, the steps already taken to resolve it, and any relevant communication or supporting details. The Club Leaders will review the concern and assign it to the appropriate director to review the situation, gather necessary information, and work with all parties to reach a fair resolution.

Please note that all communication sent to the club will be kept confidential and will be reviewed with the utmost discretion. In some cases, names and examples may be needed — if that is the case, the club will reach out to ensure information can be appropriately shared.

Confidentiality and Respect
All communications and discussions related to concerns must remain confidential and respectful. Public confrontation, harassment, or posting grievances on social media about players, coaches, or club matters will not be tolerated and may lead to disciplinary action.

Non-Retaliation Policy
Club X Academy strictly prohibits any form of retaliation against individuals who, in good faith, raise a concern, file a complaint, or participate in the resolution process. Retaliation includes, but is not limited to, unfair treatment, exclusion, intimidation, or any negative action taken as a result of someone expressing a concern.

Any retaliation will be considered a serious violation of club policy and may result in disciplinary action. The Club encourages open communication and assures all members that concerns can be raised safely and respectfully.
